ARMS Maxient - Data Entry

When using the ARMS Maxient, the department will appoint two to three specific personnel to be responsible for completing the electronic submission of case data from ARMS to Maxient. This module allows the user to search ARMS > Case Management records by Date Reported, and then select one, or more, case records to electronically send to Maxient. This action can be performed once per case report; it is not allowed to submit the same case report to Maxient more than once. Therefore, any case report needing to be electronically sent to Maxient should not be electronically sent until all names and narratives (original, supplement, and/or follow-up) have been entered into ARMS.

 

Using ARMS Maxient

The Maxient option can be found under Case Management from the Home Screen. You must be licensed for Maxient for the module to appear here.

Cases can be selected from the last 7 days, the last 30 days, or a custom date range, and you can filter by involvement type and site. You can search by involvement type for any crimes which have a suspect/victim. A list of qualifying case records will be returned to the screen. The window will display the Case Number, Incident Time (Date/Time Reported), Officer Name, Crimes, and Sent to Maxient (a field used to display the date/time when a case report was already submitted to Maxient). When highlighting a row in the “Cases” list, any parties involved in that highlighted case report will be displayed in the lower section of the window under “Involved Parties”.

To submit a case report to Maxient, place a checkmark for a specific case report, or multiple case reports, under the far-right column labeled “Select for Submission”, and then click the button labeled “Submit # of 500 records limit.” As soon as each record is successfully received by Maxient, the column labeled “Sent to Maxient” will change from ‘N/A’ to the current date/time (which is the time when that selected case report was received by Maxient).

Workflow for the Front–Line Officer

There are no changes to the workflow of the Front-Line Officer. The Front-Line Officer will continue to enter case data into ARMS per usual policy and procedure adopted by the department.

Workflow for the Personnel

It will become the responsibility of the appointed two to three persons to review case reports from the past couple of days or the previous week and determine if any of those case reports should be electronically sent to Maxient using the ARMS Maxient module. Users can stay informed about specific incident types by using the ARMS Notification Manager to subscribe to the occurrence of certain incident types. 

This will enable the appointed persons to receive an email anytime a subscribed incident type occurs. Using the emails received, users can know which case reports will need to be electronically sent to Maxient upon report completion by Officers and/or Supervisors.
