### Add File Details

Access the file from the **Home** page.

If the Writ, Instructions, and Additional Documents were not scanned on the **Receiving** page, a window will populate when you first access the **File Details** page and will require scanning of all provided documents before continuing.

1. All basic **File Details** are pulled into the top section of the page. Within this section, the Requestor can be changed, a **Requestor Reference Number** entered if applicable, and the date can be changed.
2. Check the **Writ of Execution** box and select the **Execution Type “Money Judgment”** (required field).
3. Enter the **Judgment Type** (required field) and **Judgment For** fields which should be populated based on the Writ document.
4. Assign a “**Writ Issued Date**” (required field). This will automatically calculate the **Expiration Date**. **NOTE**: This is not where the Judgment Issued date should be entered – that will be entered in the **Judgment** section.
5. Check the boxes if the Writ should be held full term (defaults to checked depending on the County process) or if it is a Criminal/Family Writ.
6. Click the **Save** button and the **Judgment** and **File Actions** sections will become visible. Details about the File Actions section can be found later in this document. Status buttons will show the Writ is currently Active and the File is open.

### Add Judgment

From the File Details page, select the **Add New Judgment** button to create a new Judgment for the File.

The Judgment Details will now be displayed.

1. Select the Creditor from the drop-down (Required field).
2. Enter the Judgment Issued Date which auto-populates as the date the Debtor joined unless changed. **NOTE**: Whenever a Judgment Renewal date is issued, return to the Judgment page, enter date, and capture documents pertaining to the renewal.
3. Select Debtor(s) from the drop-down and click the Add button to pull into the Debtor grid.
4. Enter Financial Information associated to the Judgment. 
     1. Line 11: Total Judgment (Required field).
     2. Line 12: Costs After Judgment.
     3. Line 13: Subtotal of lines 11 & 12.
     4. Line 14: Credits.
     5. Line 15: Subtotal after subtracting Credit amount from line 13.
     6. Line 16: Interest After Judgment.
     7. Line 17: Fee for Issuance of Writ (Debtor assessment fee).
     8. Line 18: Grand Total of Lines 15 – 17.
     9. Line 19a: “Daily Interest from Date of Writ” calculates APR percentage.**Note: Once SAVED the APR will no longer recalculate and cannot be changed unless the Recalculate APR button is selected.**![](https://kb.arms.com/hubfs/KB%20-%20Receiving/bank-levy-04.png)
     10. Line 19a: If the page is saved with 0% interest, the system will prompt to confirm 0% APR is correct.
     11. Line 19b: If the page is saved with “Pay Direct Court Costs” entered, the system will prompt to confirm these costs were intentionally entered.
5. The **Property Information** section is visible for property or address information (if applicable).
6. Click the **Save** button to successfully complete the Judgment entry.
7. Saving the Judgment will create a **Judgment Ledger** button that tracks the Judgment, Costs, Interest, payments, etc. (See Judgment Ledger How-To Document for details).

### Adding a Creditor Judgment Reduction

From the Judgment Details page, click the **Add Creditor Judgment Reduction** button.

This brings the user to the **Judgment Reduction** page.

1. **Received Date** will pull the current date but can be changed.
2. Enter any **Notes** regarding the Reduction to show in the Description of the File Action that is created when the Reduction is added.
3. The **Original Judgment Amount** is displayed for reference.
4. Select an **Amount Type** from the drop-down: Reduce By or Reduce To and the dollar amount.
5. Click **Capture** to attach the Reduction document. A green check mark will appear when the document has been successfully attached.
6. Click **Add** to save the information.

### Adding Costs After Judgment

From the Judgment Details page, click the **Add Costs After Judgment** button.

This brings the user to the **Costs After Judgment** page.

1. **Received Date** will pull the current date but can be changed.
2. Enter any **notes** regarding the Increase to show in the Description of the File Action that is created when the costs are added.
3. The **Original Judgment Amount** is displayed for reference.
4. **Amount Type** will always be Increase By; Enter the Amount to be increased by.
5. Click **Capture** to attach the Added Costs document. A green check mark will appear when the document has been successfully attached.
6. Click **Add** to save the information.

### Add Services

From the File Details page, once a Judgment has been created, the Services section will be visible.

Before information has been added to a Service it will show as \<Click to Assign\>.

Click anywhere in the Service to proceed to the Service Details page.

If more than one Judgment exists a window will populate to select the correct Judgment before entering the Service Details page. Otherwise, the system will pull information for the only Judgment on the case.

Click **OK** to continue.

If a Garnishee has not yet been added, a window will pop-up prompting the user to add one.

1. Select any **Service Documents** that will be printed with the Service Packet. Scan and attach them using the Capture button.
2. Add notes in the **Field Staff Instructions** box to show on the Trip Ticket.
3. If a Garnishee has already been added to the case it will automatically pull onto this page, and the **Edit** button must be used to make any changes. If a Garnishee does not exist on the case yet, the **Add** button can be used to go to the Contact Details page to enter the contact.
4. Select **Debtor(s)** from the drop-down and click the **Add** button.
5. Enter Application Details. 
     1. Select any contact on the case from the dropdown to **Make Payments To**.
     2. Select **Third Party Contact** from the dropdown (if applicable).
     3. Select where the **Property Description** is located if not entering notes in the Property Description box or check the Add Boilerplate Text box (Required).
6. Click **Save** to keep all changes made. 
     1. The Status tabs at the top of the page will switch from Levy and Service Pending to Open.
     2. If the specific service selected is incorrect, but still for the same fee amount the user can use the **Change Service Category** button and a drop-down of similar service options will appear to select and change the Service.

After the Service page is initially saved additional sections will become available.

1. When a service is attempted or completed the information is tracked by adding Service Actions. Reference the **Service Actions How-To document** for more instructions.
2. Levy Claims can be entered from this page. Reference the **Levy Claims How-To document**.
3. If a bankruptcy exists for the debtor, it will show within the bankruptcy section. Reference the **Bankruptcy How-To document**.
4. The **Proof of Service** section is for adding additional remarks to print with the Proof Packet once the service has been completed.
5. **Administrative Info** displays the dates that documents are printed from the system.

**NOTE:** **Levy Releases** and **Garnishee Responses** are only made available to enter once the service has been **completed.**

### Printing the Trip Ticket / Service Packet

After the service page has been saved the Preview and Print options will allow the user to print the Service Packet. **Preview** allows the user to review the information entered before officially printing. When the user **prints** the Service Packet, a File Action is generated that shows the user’s initials that printed the packet, the date it was printed, and the attachment of the Service Packet.

**File Actions** are created for every document generated in the system and shown on the File Details page:

### Add Service Actions

From the Service Details page, click the **Add New Service Action** button to enter all attempts or completions. This process is also known as “updating the trip ticket.” Any information that was written on the Trip Ticket is used to generate “Actions” to track the service(s).

As soon as the Service Details page is saved, the first Service Action is generated by the system to show the Service has been opened.

Once a Service Action has been added, some general information can be found by simply viewing the Service Actions grid such as: date of service, how it was served \[in this example By Mail (Certified) was used\], the Service Address, and usually which Deputy provided the service:

1. Choose the **Category** that best documents what happened within the Service from the dropdown.
2. Depending on the type of category selected, the **Date** and **Time** fields will show in order to enter when the service was performed (required fields).
3. The **Remarks** section is used to describe what transpired during the Service. Most Action Categories have default text added so the user will not have to manually type event details. In most cases the text in the field will be used for the Declaration of Diligence.**Note:** *All Action Categories can be configured with default text that populates the “Remarks” field when an Action Category is selected. Most Action Category default text can be configured with “SuiteTagsTM”. These tags are used to pull information from the case automatically, so the user does not have to manually enter it. (e.g., @Defendant will pull the Defendants name for that particular service).*
4. The **Address Details** section is used to show/set the address where the Service occurred. The field will be populated with the address that was selected from the Service Details page. 
     1. By using the dropdown, the user can add a temporary address if the Service occurred at a different address than the one selected on the Service Details page.
     2. The user can also to add another service address for the Defendant by selecting “**Add New Address**.”
5. Fill out the **Delivery Details** section to document the Deputy/s that performed the Service and who (if applicable) accepted the service. 
     1. From the **Served By** dropdown, select the Deputy who performed the Service (required field).
     2. If applicable, enter in the name and relation of the person who accepted the service (for a sub-serve).
     3. If applicable, enter date service was Mailed.
     4. The notes section is used to keep internal notes for the service.
     5. Click the **Capture Trip Ticket** button to scan and attach the Trip Ticket.
6. Click the **Save** button when all information has been entered.
7. Click the **Close** button to return to the Service Details page.

### Printing the Proof Packet

After the service page has been saved the **Preview** and **Print** options will allow the user to print the Proof Packet. Preview allows the user to review the information entered before officially printing. When the user prints the Proof Packet, a File Action is generated that shows the user’s initials that printed the packet, the date it was printed, and the attachment of the Proof Packet.

File Actions will log the documents that were created and the paperclip icon allows the user to open the document and re-print, if needed:

### Writ Return

A Writ Return letter can be generated from the File Details page once the service has been completed by selecting the **Writ Return** from the Print drop-down.

A window will pop up to select the **Return Type**, add **Remarks**, and produce an **Audit Report** (if applicable). Click **Print** to generate the letter immediately or **Print Later** to queue up for batch printing of Writ Returns.

### File Actions

File Actions are for tracking and keeping a history of activity within the file. It will show Modification or Release information, any comments entered, attachments of any document generated or scanned within the file (click on the paperclip to open and view the document).

File Actions can be filtered to show all Attachments, all comments that do not have an attachment, or Accounting related File Actions only. To add a new comment or capture additional documents, click the **Add New File Action** button.

Once the **Add New File Action** button has been selected, the user can select a category for what type of action is taking place, enter any notes that apply, select a Priority type, expiration date (if applicable), capture a document if necessary, and save the page.

The **priority** will show an icon next to the comment and highlight the line in a different color.

Note that the ellipsis (three dots) can be clicked to open up the list of File Actions further, instead of using the scroll bar.

### File Ledger

On the File Details page, the **File Ledger** button is on the top left-hand side. This is where the money for the file is tracked. All Fees for Services, costs earned by completion of service, etc. will show here.

Depending on permissions, the user will see buttons below the grid to allow functions to Split, Void, Hold, Delete, Transfer, and/or Move Funds.

All users will have permissions to print receipts from this page. Check the box next to the deposit that need a receipt printed and then click **Print** then select the **Print Receipt(s)** option.

Depending on the user’s permissions, there are other **Print** options such as **Print Ledger** for when the debtor requests proof of all payments.

**NOTE:** Additional Deposits can be added using the Add Credits section. See **Deposits and Vendor Payments How-To document** for a step-by-step for both the Add Debits and Add Credits sections.

### Notice of Action

The **Notice of Action** button on the File Details page is used to create a letter for the File.

The Notice of Action letter will pre-populate information already entered on the file, but still requires a **Received** and **Returned** date, address, and instructions to be entered. Instructions can be added as free text using the comment box below or select **Return Instructions** in the drop-down to use check boxes to choose specific information that is missing. Once you have typed the instructions or selected the text, use the **Save** or **Save & Print Notice** button to complete the notice.

### Levy Modification

On the Service Details page, once a Service has been created, the **Levy Modification** button will appear in the top right corner.

1. The **Received Date** will automatically pull the current day but can be changed.
2. **Notes** can be entered that will show in the File Action that is created when the Modification is saved.
3. Select the **Action type**: Stay or Modification (If Modification is selected, a text box will appear).
4. Enter a **Storage Date** (if applicable).
5. Enter **Additional Instructions** (if applicable).
6. **Capture** the Modification documents. A green check mark will confirm it was captured.
7. Click **Save** or **Save & Print**. If printed, the Modification letter will open in another tab. The Modification information will automatically save to the File Actions.

### Levy Release

On the Service Details page, once a Service has been completed, the **Levy Release** button will appear at the top of the page.

1. The **Received Date** will automatically pull the current day but can be changed.
2. **Notes** can be entered that will show in the File Action that is created when the release is saved.
3. **Action type** is defaulted to Terminate.
4. Enter a **Termination Date**.
5. Enter a **Storage Date** (if applicable).
6. Enter **Additional Instructions** (if applicable).
7. **Capture** the Termination documents. A green check mark will confirm it was captured.
8. Click **Save** or **Save & Print**. If printed, the Termination letter will open in another tab. The Release information will automatically save to the File Actions.

### Add Garnishee Response

On the Service Details page, once a Service has been completed, the **Garnishee Response** button will appear at the top of the page.

Memorandum of Garnishee page is displayed:

1. **Received Date** automatically pulls current date but can be changed.
2. **Notes** can be added or will automatically populate whatever Typical Response(s) is selected.
3. Check the box next to a **Typical Response(s)**.
4. If another party is on the account, select the **Third Party** from the dropdown. The **Add Third Party** button can be used if the contact does not exist in the dropdown.![](https://kb.arms.com/hubfs/KB%20-%20Receiving/bank-levy-41.png)
5. **Capture** the Response. A green check mark will appear when the document has been captured successfully.
6. Click the **Save** button. A File Action will be created and the user will be brought back to the Service Details page.

### Print Third Party Notice

On the Service Details page, if a Third Party was entered (through the Garnishee Response or the Contact Details page), the Third-Party Contact will show within the Application Details section.

Once a Third Party has been selected, the **Third-Party Notice** will be available in the **Preview** or **Print** dropdowns.

### Print Garnishee Demand Letter

On the Service Details page, once a Third-Party Notice has been printed, a **Garnishee Demand Letter** option will appear in the **Preview** or **Print** dropdowns.

**Note**: The Third-Party Contact must be selected in the Application Details section of the Service Details page.
