            INTRODUCTION

            Interact Jail Tracker (JMS) and In-Synch RMS (RMS) offer an interface that allows for the transfer of incarceration information from the JMS to the RMS. This document provides specifications on the information exchange.

            PURPOSE OF THE SOFTWARE

            Automatic population of JMS data to the incarceration tab of the RMS. Incarceration and release information entered into the JMS will be created and updated in the RMS through an interface between the databases.

            PHYSICAL CHARACTERISTICS

            Hardware Requirements

            • Connectivity between the RMS server and the JMS server must exist.

            OS/Software Requirements

            • In-Synch RMS version xxx or higher is required for an agency to utilize the In-Synch JMS Integrator.

            DATA EXCHANGE SPECIFICATIONS

            Incarceration records are entered into the JMS, the In-Synch JMS Integrator reads the data and appends the information to a person’s incarceration tab in the Warrants and Registrations module of the RMS. This data exchange is one direction, JMS to RMS.

            Person Information
            The integrator compares person records based on Name, DOB, and SSN.

            • If the same person exists in the JMS and RMS, the integrator moves to section 4.2, Incarceration Information.
            • If the person exists in the JMS but not in the RMS, the person will be added to the RMS. Fields include:
              • First Name
              • Last Name
              • SSN
              • DOB
              • Gender
            • If the same person(Name and DOB) exists in the JMS and RMS, but have different SSN’s, the record will be skipped and added to an error log stored on the RMS server.

            Incarceration Information
            Once the person is verified or created, the following fields are added to the person’s incarceration record in the RMS:

            • Date of the Offense
            • Arrest Number
            • JMS Description (Crime)
            • Jurisdiction

            Release Information
            Once the person has been released in JMS, the In-Synch JMS Integrator will verify a valid incarceration record in the RMS and update the following field on the incarceration tab:

            • Release Date

            CONFIGURATION SETTINGS

            The In-Synch JMS Integrator runs as a Windows scheduled task. By default, it has the following settings:

            • Scheduled to run every day at 3:00am.
              • The frequency and time can be adjusted on a per installation basis.
            • Checks all incarceration records in the JMS for a 3 day period (Current Date -2).
              • The number of days can be adjusted on a per installation basis.
